Refund & Cancellation Policy

This policy explains how refund requests, cancellations, duplicate payments, course transfers, Academy-initiated changes and related payment issues should be handled for the Academy's education and professional-upskilling programs.

The strategy PDF does not specify a refund period, cancellation fee, EMI rule or processing time. Those items are therefore intentionally left as highlighted placeholders instead of being invented.

1. Purpose of This Policy

This Refund & Cancellation Policy applies to course fees and other eligible payments made to [INSERT LEGAL ENTITY / ACADEMY NAME] through the Academy website, payment link, authorised payment provider or another approved payment method.

It should be read together with the applicable course page, Terms & Conditions, Payment Policy and any specific written offer communicated before enrolment.

2. Before Making Payment

Learners should review the course information carefully before payment, including the program level, eligibility requirements, learning format, access period, assessment requirements, certificate information and any practical or optional clinical component.

Eligibility matters. Different programs are designed for different learner groups. If you are unsure whether a program is appropriate for your qualification or current professional role, contact the Academy for an eligibility check before payment.

A learner should not assume that completing a course creates professional registration, licensure, an independent scope of clinical practice or eligibility for a regulated professional title.

3. Refund Eligibility & Request Window

The Academy's standard refund request window should be: [INSERT NUMBER OF HOURS / DAYS AFTER PAYMENT].

A request submitted within that period may be reviewed for refund subject to the conditions in this policy, applicable consumer rights, the course access already used, services already delivered and any clearly disclosed program-specific conditions.

Refund eligibility after the standard request window: [INSERT FINAL RULE: NOT ELIGIBLE / CASE-BY-CASE / OTHER].

Possible evidence required

  • learner name and registered email/phone number;
  • course name;
  • payment receipt or transaction/reference number;
  • payment date and amount;
  • reason for the request;
  • any supporting evidence relevant to the request.

4. Items That May Be Non-Refundable

Subject to applicable law and the final Academy rules, the following may be treated as non-refundable once they have been supplied or substantially used:

  • course access already substantially consumed;
  • completed assessments or certification services already processed;
  • printed, personalised or dispatched materials;
  • completed one-to-one services or booked sessions where the applicable cancellation period has passed;
  • third-party charges that are expressly disclosed as non-refundable;
  • administrative fees, if lawfully charged and clearly disclosed before payment.

Final non-refundable items: [CONFIRM / EDIT THIS LIST BEFORE PUBLISHING].

5. Duplicate or Incorrect Payments

If the same enrolment is accidentally paid more than once, contact the Academy promptly with the transaction details. Once verified, the duplicate amount should be returned to the original payment method where reasonably possible.

If an incorrect amount is charged because of an Academy-controlled technical or administrative error, the Academy should correct the transaction after verification.

6. Course Transfers, Deferrals & Changes Requested by the Learner

A learner may request to transfer to another eligible program, defer participation or change a future practical session. Approval should depend on eligibility, course availability, progress already completed, administrative feasibility and any difference in fees.

Course transfer [INSERT WHETHER ALLOWED + TIME LIMIT / FEE]
Deferral / pause [INSERT WHETHER ALLOWED + CONDITIONS]
Upgrade to another program [INSERT FEE-DIFFERENCE RULE]
Name / learner substitution [INSERT WHETHER TRANSFERABLE OR NOT]

7. If the Academy Cancels or Materially Changes a Program

If the Academy cancels a paid program before the relevant service is delivered, affected learners should be offered an appropriate remedy based on the circumstances and applicable law.

Possible remedies may include:

  • transfer to the same program on a later date;
  • transfer to another suitable program with any fee difference clearly handled;
  • credit for future study; or
  • a refund for the affected undelivered service where appropriate.

Minor curriculum, faculty, scheduling or platform changes that do not materially reduce the educational service may not automatically create a right to cancel, subject to applicable law.

8. Practical Workshops, Observerships or Clinical Training Components

Where a program includes or offers an optional practical workshop, hospital exposure, observership, clinical placement or another in-person component, separate scheduling and cancellation conditions may apply.

Any travel, accommodation, visa, local transport or personal expenses should be treated separately unless they are expressly included in the paid package.

Final practical/clinical cancellation rule: [INSERT AFTER THE DELIVERY MODEL IS CONFIRMED].

9. Instalments, EMI & Part-Payment Arrangements

If instalment or EMI options are offered, the payment schedule, total payable amount, missed-payment consequences and refund treatment should be disclosed before the learner enters the arrangement.

Final instalment / EMI cancellation rule: [INSERT RULE].

Where an external finance or payment provider is used, that provider's separate terms may also apply.

10. Refund Method & Processing Time

Approved refunds should normally be returned through the original payment route where reasonably possible, subject to payment-provider capabilities and applicable requirements.

Academy review time [INSERT BUSINESS DAYS]
Refund processing time [INSERT BUSINESS DAYS AFTER APPROVAL]
Bank/provider posting time May vary depending on the learner's bank or payment provider.
Refund destination Original payment method unless another lawful method is agreed.

11. How to Request a Refund or Cancellation

Requests should be submitted through the Academy's authorised support channel: [INSERT SUPPORT / REFUND EMAIL OR FORM URL].

1
Submit request Provide learner, course and payment details.
2
Verification The Academy checks payment, access and request timing.
3
Decision You receive the outcome and any available remedy.
4
Processing An approved refund is sent through the applicable payment route.

12. Payment Disputes & Chargebacks

If you believe a payment is incorrect, contact the Academy first so the transaction can be investigated. This does not remove any legal right you may have to contact your payment provider.

Fraudulent chargebacks, false payment claims or misuse of the dispute process may result in suspension of course access while the matter is reviewed.

13. Contact & Policy Administration

Refund and cancellation requests should be sent to:

  • Legal entity: [INSERT LEGAL ENTITY]
  • Support / refunds email: [INSERT EMAIL]
  • Registered address: [INSERT REGISTERED ADDRESS]
  • Applicable jurisdiction: [INSERT JURISDICTION]
