The strategy document does not specify the Academy's payment gateway, currencies, tax treatment, instalment schedule, EMI partner, invoice rules or manual payment process. These fields are therefore left as highlighted placeholders rather than being invented.

1. Scope of This Policy

This Payment Policy applies to payments made to [INSERT LEGAL ENTITY / ACADEMY NAME] for course enrolment, institutional training, workshops, optional practical components, learner services or other paid Academy services.

It should be read together with the relevant course or service page, Terms & Conditions, Refund & Cancellation Policy and any written quotation or institutional agreement.

2. Course Fees & Pricing

The applicable fee is the amount displayed or formally communicated for the relevant course or service at the time of payment, subject to any stated eligibility, promotional or payment conditions.

  • Fees may differ between programs, learner categories or delivery formats.
  • Optional workshops, clinical exposure, printed materials or other add-ons may carry separate charges.
  • Any scholarship, discount or promotional fee should have clear eligibility and validity conditions.
  • Where a quotation is issued to an institution, the quotation terms take priority for that transaction.
Eligibility before payment: Learners should confirm that the selected program matches their qualification, role and intended learning pathway before making payment.

3. Approved Payment Methods

Payments should be made only through Academy-approved channels. These may include online gateway, bank transfer, UPI, card, payment link or another authorised method, depending on what the Academy actually enables.

Online payment gateway [INSERT ACTUAL PROVIDER]
Bank transfer / UPI [INSERT IF OFFERED]
Instalment / EMI [INSERT IF OFFERED]
Other approved method [INSERT OR REMOVE]

Learners should not send money to personal accounts or unofficial payment links claiming to represent the Academy.

4. Payment Confirmation & Enrolment Activation

A payment is treated as received only after it is successfully confirmed by the relevant payment provider, bank or the Academy's authorised payment-verification process.

1
Payment initiated The learner selects an approved payment method.
2
Transaction checked Gateway confirmation or manual proof is reviewed.
3
Payment approved The Academy marks the payment as successfully verified.
4
Access activated Eligible learner access is enabled according to the enrolment process.

The Academy may require both payment confirmation and completion of any applicable eligibility or document-verification step before final enrolment.

5. Manual Payment Proofs

Where the Academy allows bank transfer, UPI or another payment method that requires manual verification, learners may be asked to upload or submit proof of payment.

Valid proof may need to show:

  • transaction/reference number;
  • payment date;
  • amount paid;
  • payer name or account identifier where appropriate;
  • receiving account / payment destination;
  • course or learner reference.

Manual verification target time: [INSERT BUSINESS HOURS / DAYS].

Submission of a screenshot or payment proof does not by itself confirm successful payment. Access should be activated only after the payment has been verified.

6. Failed, Pending or Reversed Payments

If a payment fails, remains pending or is reversed, the learner should first check the status shown by the payment provider or their bank before attempting another payment.

  • A failed transaction does not create confirmed enrolment.
  • A pending transaction may require additional processing time from the bank or payment provider.
  • If the amount is debited but the Academy does not receive confirmation, support may request transaction evidence.
  • Duplicate payments should be handled under the Refund & Cancellation Policy.

7. Instalments, Part Payments & EMI

Instalment or EMI arrangements should apply only where expressly offered for a particular course or learner and should be confirmed before the learner enters the arrangement.

Initial payment [INSERT AMOUNT / PERCENTAGE / RULE]
Number of instalments [INSERT RULE]
Due dates [INSERT SCHEDULE]
Missed payment consequence [INSERT ACCESS / GRACE PERIOD RULE]

Where an external EMI or finance provider is used, that provider's terms, eligibility checks, charges and privacy policy may also apply.

8. Taxes, Gateway Charges & Other Fees

Course prices should clearly state whether applicable taxes are included or added separately.

Tax treatment: [INSERT GST / VAT / OTHER APPLICABLE RULE].

Any payment gateway fee, bank charge, foreign-exchange fee or other external processing cost should be disclosed where it is charged to the learner.

9. Invoices, Receipts & Payment Records

The Academy may issue a payment acknowledgement, receipt or invoice after successful payment verification, depending on the transaction type and applicable accounting requirements.

Learners should review the name, email, billing information and other required details before requesting an invoice or certificate-related document.

Invoice / receipt delivery method: [INSERT EMAIL / DASHBOARD / DOWNLOAD PROCESS].

10. Currency & International Payments

Fees may be displayed or accepted in one or more currencies depending on the Academy's payment setup. If a learner pays in a different currency, their bank or payment provider may apply its own conversion rate or international transaction fee.

Accepted currency/currencies: [INSERT VERIFIED CURRENCIES].

11. Payment Verification, Security & Fraud Prevention

The Academy may conduct reasonable verification where a transaction appears unusual, where manual proof is submitted, or where payment details do not match enrolment information.

  • Do not share OTPs, PINs or full card credentials with Academy staff.
  • Use only official Academy payment pages or verified payment details.
  • Suspicious, altered or fraudulent payment evidence may lead to access suspension or cancellation.
  • Additional identity or transaction verification may be requested where reasonably necessary.

12. Refunds, Cancellations & Reversals

Refund eligibility, cancellation windows, duplicate-payment corrections and course-transfer requests are governed by the separate Refund & Cancellation Policy and any legally applicable consumer rights.

A refund, if approved, should normally be returned through the original payment method where reasonably possible and subject to payment-provider processing time.

13. Hospital, Institutional & Bulk Training Payments

Payments for hospital workforce training, institutional programs, custom training or bulk enrolments may be governed by a separate quotation, invoice, purchase order or written agreement.

Institutional arrangements may include custom pricing, learner-volume commitments, milestone payments, taxes, invoicing conditions and cancellation terms different from individual course enrolments.

Where a written institutional agreement exists, its payment terms take precedence for that engagement.

14. Payment Support & Contact

For payment support, contact:

  • Legal entity: [INSERT LEGAL ENTITY]
  • Payment support email: [INSERT EMAIL]
  • Support phone / WhatsApp: [INSERT IF USED]
